Privacy Policy
1. Who we are
Equitell.ai is operated by Equitelligent Ltd (“we”, “us”, “our”). For the purposes of the UK General Data Protection Regulation (“UK GDPR”) and the Data Protection Act 2018, we are the data controller of personal data processed via Equitell.ai.
2. Contact details
For privacy questions or to exercise your rights, contact:
Email: support@equitell.ai
Website: https://equitell.ai
3. Where we host and process data
We host Equitell.ai in the United Kingdom (Azure UK region). This means your primary application data is processed and stored in UK-based Azure services. Some third-party providers we use (for example, payment processing or telemetry tooling) may process limited data outside the UK. Where international transfers occur, we apply appropriate safeguards (see section 10).
4. The data we collect
We may collect the following categories of data:
- Account data — name, email address, login identifiers, authentication metadata.
- Profile and equestrian data — profile details you provide, horse details, preferences.
- User-generated content — comments, descriptions, and other content you submit.
- Usage data — pages viewed, feature usage, approximate location (derived from IP), device/browser information.
- Technical and security data — IP address, logs, timestamps, error reports, fraud/abuse signals.
- Subscription data — subscription status, billing interval, and limited payment metadata from our payment provider (we do not store full card details).
- Telemetry and diagnostics — performance metrics, traces, and error information collected via Azure Application Insights (or similar services) to keep the Service reliable and secure.
5. How we use your data
We use personal data to:
- Provide and operate the Service (account access, subscriptions, and core functionality).
- Process subscriptions and manage billing and entitlements.
- Enable user features (profiles, comments, horse details, and related functionality).
- Improve the Service (debugging, analytics, performance, and feature development).
- Maintain security, prevent abuse, and enforce our Terms.
- Respond to support requests and communicate important service-related messages.
6. AI processing and your content
Equitell.ai uses AI to generate responses. This involves processing your prompts and relevant information you provide (such as profile details, horse details, and other equestrian information) to produce outputs.
Our AI capabilities are delivered via Azure AI Foundry endpoints. We use these services to:
- Generate responses to your queries and deliver product features.
- Improve reliability, safety, and product quality (for example, debugging, detecting misuse, or preventing abuse).
- Moderate content where necessary to protect users and the platform.
We may review content in limited cases for support, fraud prevention, moderation, or compliance purposes. AI-generated outputs can be incorrect and should be independently verified (see our Terms & Conditions).
7. Lawful bases for processing
Under UK GDPR, we rely on one or more of the following lawful bases:
- Contract — to provide the Service you subscribe to and request.
- Legitimate interests — to improve the Service, keep it secure, prevent abuse, and understand usage (balanced against your rights).
- Legal obligation — where we must comply with UK law (e.g., accounting records, lawful requests).
- Consent — where required (e.g., optional cookies/analytics depending on configuration).
8. Who we share data with
We may share personal data with trusted service providers (“processors”) such as:
- Payment providers (e.g., Stripe) to process subscriptions and manage billing.
- Cloud hosting and infrastructure providers (Microsoft Azure) to host the Service in the UK.
- Telemetry and monitoring providers (e.g., Azure Application Insights) to collect diagnostics and performance information and keep the Service reliable and secure.
- AI providers (via Azure AI Foundry endpoints) to deliver AI features.
- Professional advisers (legal, accounting) where necessary.
- Authorities where required by law or to protect rights, safety, and security.
We do not sell your personal data.
9. Cookies and similar technologies
We may use cookies and similar technologies to:
- Keep you signed in and maintain session security
- Remember preferences
- Understand usage and improve performance (where enabled)
You can control cookies through your browser settings. If we use optional analytics cookies, we will provide an appropriate consent mechanism.
10. International transfers
We host Equitell.ai in the UK. However, some third-party providers may process limited personal data outside the UK. Where personal data is transferred internationally, we use appropriate safeguards such as UK adequacy regulations or approved contractual protections.
11. Data retention
We keep personal data only as long as needed for the purposes described in this policy, including:
- To provide the Service while your account is active
- To comply with legal, tax, and accounting obligations
- To resolve disputes and enforce agreements
- To maintain security and diagnostic logs for a reasonable period
You may request deletion of your account. Some data may be retained where we have a lawful reason to do so.
12. Your rights
You may have rights including:
- Access to your personal data
- Correction of inaccurate data
- Deletion (the “right to be forgotten”)
- Restriction or objection to processing
- Data portability
- Withdraw consent (where we rely on consent)
To exercise your rights, contact support@equitell.ai.
13. Children
Equitell.ai may be used by minors only with the consent and supervision of a parent or legal guardian. If you believe a child has provided personal data without appropriate consent, contact us and we will take reasonable steps to address it.
14. Security
We implement reasonable technical and organisational measures to protect your data, including access controls and monitoring. However, no method of transmission or storage is completely secure and we cannot guarantee absolute security.
15. Complaints
If you are unhappy with how we handle your data, please contact us first so we can try to resolve it. You also have the right to lodge a complaint with the UK Information Commissioner’s Office (ICO).
